Programs Coordinator
Glen Eyrie
Responsibilities: Assist in the administrative planning and needed support of original Glen Eyrie Group conferences, retreats, day events and holiday celebrations. Responsibilities include reserving program dates in reservations system. Confirming contracts, dates and logistics with Program Speakers. Update and educate Reservations Team on upcoming programs. Regularly input and update all program logistics (menus, A/V needs, room set-up, etc.) into reservations system. Attend weekly compass (operational) meetings, weekly Programs Logistics meetings and weekly staff meetings. Prepare and confirm conference materials (binders, name-tags, hand outs, etc.). Assist in the facilitation of logistics from planning perspective on program game day and assist with check-in process at conferences, when necessary. Coordinate speaker hospitality functions as necessary (airport pick-up, arrivals and initial greeting, etc.). Oversee the preparation of special events/special touches (hospitality suite, meeting room décor, etc.) for program attendees. Be available as needed during programs; also, assemble and analyze program evaluations. Responsible for sending thank you letters/follow-up to speakers and attendees. Perform other job-related duties as assigned.
Qualifications: High School Diploma or GED required. Detail-oriented and strong organizational skills required. Command of Microsoft Office, specifically Word, PowerPoint and Excel. Excellent people and telephone skills; work well within a team environment. Must be able to work calm under pressure; must possess strong relational skills as interaction with speakers and guests is a necessity. Flexible schedule required, must be available weekends and evenings as programs demand. Belief in and adherence to the Statement of Faith and Mission of The Navigators.
