Camping with a group is a great way to build unity and make memories! Youth pastors or leaders can stay with their kids while we handle the logistics of meals, programs, and just about everything else! Eagle Lake offers discounted rates for camps with groups. Whether a group of 20 or 200, we can accommodate just about any size and any age in one of our many exciting existing programs or in a custom-designed program that is tailored specifically to meet the needs and personality of your group.
Please review our Group Policy below for information about group rates and procedures. Contact us at 800-US-EAGLE (873-2453) if you are interested in registering your group.
Definition of a group:
- A contract group is defined as any group that numbers at least 19 campers and with at least 1 leader (minimum of 20 total).
- A contract group may have more than 1 leader, but cannot exceed a leader-to-child ratio of 1:7. Please Note: All leaders must be at least 19 years of age.
- Contract groups may attend any existing Eagle Lake Camp, charter a camp for a week, or develop their own summer or non-summer retreat with the Eagle Lake staff in Colorado or any of our other excursion camp locations around North America.
Discounts:
A group is eligible for a discount on their selected program(s) based on the total number of participants in the group. Discounts do not apply to trips that are especially tailored for a group.
- Groups will receive a $50/person discount for 20-99 participants.
- Groups will receive a $100/person discount for 100 or more participants.
- Leader pricing: One leader for every 15 campers will be charged a flat rate of $200 for one-week programs, or $350 for two-week programs. Additional leaders will pay discounted camper prices based on above numbers.
Conditions of discount:
- Groups will be eligible for the above discounts if a $100-per-person, non-refundable deposit (part of the total camp fee) is made to reserve the desired dates and number of participants.
- The number of group participants must be pre-approved by camp directors prior to deposit.
- Groups need to submit the remainder of the balance one month prior to the group's arrival date. >
- The group must commit to a number of participants no later than 30 days prior to their arrival date. This will be the number used when figuring out the discount and the balance due. A minimum of 80% of the original committed number of participants must attend, or forfeit all deposits.
- Eagle Lake will do whatever we can to accommodate late registrations from the group. However, we cannot guarantee availability.
- If cancellations exceed 20% of the original number, then the deposit is forfeited. For example: A group leader sent a deposit for 100 participants. Due to over-optimism, only 70 participants are actually coming. We will only credit 20 participants' (20% of the original number) deposit towards the remaining balance; the rest is forfeited.
- If any participant cancels after the remaining balance due date, no refund will be given on the deposit or camp fee.
- If there is a medical reason for a participant cancellation, written documentation from the attending doctor is required. In this case, the camp fee will be refunded in full.
